The operating app I use to run my business and the rest of my work

Claude HQ

My business runs on scheduled checks and AI work sessions: a weekly price sweep, a recall check, monthly audits, and the sessions that act on what they find. On 28 Oct the board held 357 tasks and 160 decisions; 313 of those 517 items were for the business, and 214 tasks were done.

Decisions

Of 75 timed decisions, half were answered within 1 h 20 min.

Claude brings each decision as a card with the options and its recommendation. I answer with one tap, and the session that asked carries on.

One decision card, sample data: "A pick's price range is out of date. Update it?", with the context, why Claude recommends updating, and buttons to accept, start in Claude, snooze or see other options.
One decision as it reaches me: the context, the options and Claude's pick.

01Problem

The problem.

My business runs on scheduled checks and AI work sessions: a weekly price sweep, a recall check, monthly audits, and the sessions that act on what they find. Work and decisions sat on three separate boards, so a missed run or an unanswered decision was easy to lose.

02What I did

What I did.

I specified one app, built by Claude, that holds every project's tasks, decisions, updates and metrics in one shared database:

  • it watches 16 recurring jobs, 10 of them for the business, and flags any that missed a run, failed or stalled;
  • decisions reach me as cards with options and Claude's recommendation, and I answer with one tap;
  • each work session is matched to its project automatically, and a session that commits or ships work without updating the board is stopped once and reminded to update it;
  • a sync job runs three times a day: it refreshes session status, checks the scheduled jobs, and builds my job-search funnel from my tracker spreadsheet.

The result.

On 28 Oct the board held 357 tasks and 160 decisions; 313 of those 517 items were for the business, and 214 tasks were done. Of the 75 answered decisions with both times recorded, half were answered within 1 hour 20 minutes, and 35 within an hour. On 28 Oct I froze the app at version 16 until 9 Dec, so that its upkeep doesn't take time from the work it runs.
